ARCHIVE PROJECT COORDINATOR
We are seeking a high-calibre Archive Project Coordinator, who will be a crucial part of the Heritage and Archive Department. Supporting project delivery and development across the department, including managing the Digital Film Archive (DFA) website and online promotion of moving image content. The successful candidate will also support the wider work of the department, overseeing bespoke projects, including digitisation and public access programmes and will work in close partnership with a range of stakeholders, to deliver a varied programme of activity built around moving image content.
Job Purpose
The Archive Project Coordinator will contribute to an extensive and varied programme of archive activity, working across a range of digitisation, records management and public access initiatives and supporting project delivery across the department.
Alongside their core responsibilities, they will work on bespoke archive projects, including implementing a robust system for the preservation of Northern Ireland Screen’s back catalogue, ensuring that these materials are properly processed, catalogued and, where possible, made publicly accessible.
The post holder will also explore opportunities to promote archive content online, managing the DFA website and the creation of content for social media platforms. They will also develop opportunities to utilise the DFA online through creative collaboration with external partners.
The successful candidate should have knowledge of, and passion for, Northern Ireland’s history, culture and places.
Main Duties & Responsibilities:
- Establish a robust system for delivery and ongoing preservation of funding deliverables;
- Document the back catalogue of Northern Ireland Screen funded productions, and implement a system of ongoing cataloguing and rights clearance, in order to make legacy materials publicly available through the DFA website and related Northern Ireland Screen platforms;
- Manage the DFA website, liaising with the Website Administrator to ensure that the website is developed/adapted as required for project and content management purposes;
- Work with the Marketing Department in the preparation and delivery of a social media schedule for DFA content, ensuring that relevant clips are researched and edited for online delivery;
- Support existing DFA partners for online delivery of DFA content, editing clips, preparing permissions agreements, ensuring consistent branding and agreeing to a schedule of delivery;
- Proactively research options and opportunities that support online delivery of DFA content, including identifying new DFA partners and innovative ways of making archive content available online, including contributing to creative response initiatives;
- Support public engagement activity across the department, assisting with event logistics and preparing project/departmental promotional materials, including creating showreels and editing material for social media and online;
- Support core digitisation and restoration projects, overseeing the transport of materials, liaising with facilities houses, quality checking materials;
- Present, promote and showcase the DFA programmes at public and sector events, such as talks, festivals and heritage conferences;
- Work with all Northern Ireland Screen staff in the implementation of an integrated approach to the development of the screen industry in Northern Ireland; and
- Such other duties as may from time to time be required by the Head of Heritage & Archive and the Chief Executive.
Essential Criteria
- Relevant third level qualification – Archives and Records Management, Library and Information Management, English, History, Politics, Law
- Minimum of two years’ experience working with digital assets and/or moving image collections within an archive, library, museum, broadcast or similar organisation.
- Demonstrable ability to manage a varied portfolio of work, delivering high-quality outputs on time and within budget.
- Demonstrable ability to manage large amounts of data and digital assets, and determine best workflows, including quality control procedures.
- Methodical working approach with an attention to detail.
- Experience in using audiovisual post-production software.
- Ability to work on own initiative within agreed guidelines, manage own workload and prioritise effectively, in order to meet deadlines and manage multiple priorities.
Desirable Criteria
- Content management experience; including developing content promotional strategies.
- Knowledge of audiovisual digitisation and preservation standards.
- Demonstrable understanding of the cultural and educational value of moving image archive.

Ulster-Scots Broadcast Fund Investment Committee Member
The role of the Ulster-Scots Broadcast Fund (USBF) Committee Member is to assess applications from local independent production companies for new TV, radio and digital programmes that best reflect the Ulster-Scots community, past and present. Assessments and associated documents and online links are sent to all Committee Members in advance of a Committee Meeting during which each application is discussed and funding awards decided.
The USBF Committee is currently under-represented by females, therefore applications from females are particularly welcome.
Person Specification
Candidates will be expected to demonstrate in their application form and, if shortlisted, at interview, the extent to which they are able to satisfy the following essential criteria:
- Demonstration of an interest in and/or links to Ulster-Scots heritage, culture and language;
- Demonstration of knowledge of the Ulster-Scots TV, radio and digital output, e.g. BBC Northern Ireland’s A Stitch Through Time, Paula McIntyre’s Hamely Kitchen and The Band, UTV’s Mahon’s Way and Walk NI’s Danders Aroon.
Terms of Appointment
- USBF Investment Committee members will be appointed for a term of three years and may be eligible for re-appointment.
- The USBF Investment Committee will meet approximately 3 times a year.
- Committee members must at all times abide by the Seven Principles of Public Life as laid down by the Commissioner for Public Appointments for Northern Ireland
